Terms & Conditions
These terms set out the main conditions that apply when renting a vehicle from GR Vehicle Rentals Ltd. Please read them carefully before making an enquiry, booking, or collecting a vehicle.
Rental Terms
Rental periods
Rental periods are measured in 24-hour periods. For example, if a vehicle is collected at 9:00am for a one-day rental and returned at 10:00am the following day, an additional charge will apply because the rental period exceeds 24 hours.
Insurance responsibility
We do not provide vehicle insurance cover. The customer or driver must arrange suitable insurance before collecting the vehicle. Proof of insurance, including the relevant policy certificate, must be shown before collection.
Vehicle return
The vehicle must be returned to the same address from which it was collected, on the agreed date and at the agreed time. Late returns may incur additional charges.
Daily checks
The customer or driver is responsible for carrying out daily engine fluid checks during the rental period.
Lost security items
Any lost brake disc lock or chain lock will be charged at £30 per item.
Identification and proof of address
The customer must provide original copies of their full driving licence and one additional form of photo identification, such as a passport or national identity card. A separate proof of address document is also required, such as a utility bill issued within the last 3 months, a bank statement issued within the last month, a local authority council tax bill for the current year, or an electoral roll entry. We do not accept provisional driving licences, mobile phone bills, or credit card statements as proof of address.
Damage liability
If the vehicle is damaged while rented to you, you will be responsible for the cost of that damage.
Traffic offences and parking violations
The customer must notify us promptly if they receive any notice, communication, or correspondence from any relevant authority regarding a traffic offence, penalty, or parking violation that occurred while the vehicle was in their care.
Prohibited use
No vehicle rented under this agreement may be used off-road, on non-metalled roads, or for any form of racing, competition, or similar activity.
Late payment charges
Late payments may incur an additional charge of £25.
Notes on Tyre, Pannier & Panel Damage
Tyre damage
The customer will be charged, at our cost price, for any plugged, punctured, or damaged tyre in proportion to the remaining tread life. For example, if 60% of a tyre’s tread remains, the customer will be charged 60% of the cost of a new tyre, plus fitting.
Tyre replacement during rental
If a customer replaces a tyre during the rental period and provides an invoice for the tyre, and the tyre is the correct make and type for the motorcycle and forms a matched pair where required, no additional charge will apply. If the tyre is not the correct make or type, the customer may be charged in the same way as for a punctured or damaged tyre.
Pannier and panel damage
In the event of minor scratches and/or marks to panels or panniers, the customer will be liable as follows: the marks or damage must be minor, and the motorcycle must remain suitable to be rented again with those marks in place. For each marked panel, the customer will be charged £50 to contribute towards the repair cost. If the marks or damage are not minor, the customer will be liable for the replacement cost of the affected panel at our cost price.
